Google Calendar Event Created Automatically

Hykmah calls the Google Calendar API and creates an event on the assigned user's calendar — or sends a calendar invite to the customer. Job details, address, and notes populate the event description.

Changes Stay in Sync

If the job is rescheduled or cancelled in Hykmah, the calendar event updates automatically. Customer receives an updated invite notification. No manual calendar management required.

Can each technician have their own Google Calendar sync?

Yes. For multi-user setups, each technician or staff member connects their own Google account in Hykmah Settings. Events for that staff member's jobs appear on their personal calendar only — not shared with the whole team.

Do customers need a Google account to receive calendar invites?

No. Google Calendar invites are sent to any email address. Recipients with a Google account can add the event to their Google Calendar. Recipients without a Google account receive an .ics file they can import into any calendar app.

Does rescheduling a job in Hykmah update the calendar event?

Yes. Any schedule change in Hykmah — new time, new date, cancellation — updates the corresponding Google Calendar event automatically and sends the attendee (staff member or customer) an update notification.

Can I include Google Meet links in calendar events?

Yes. Enable Google Meet link generation in the integration settings. A unique Google Meet link is added to the calendar event automatically — useful for remote consultations, client meetings, or virtual appointments.

Common Issues & Solutions

 

Jobs not appearing in Google Calendar

OAuth token expired, wrong calendar selected, or staff member's Google account not connected.

Fix: Check integration status at Settings → Integrations → Google Calendar. Re-authorise if the token has expired. Verify the correct Google Calendar is selected as the target. For multi-user setups, confirm the relevant staff member has connected their own Google account.

Customer calendar invites not being received

Customer email address not populated on the Hykmah booking, or customer invite option not enabled in sync settings.

Fix: Verify the customer record has a valid email address in Hykmah. Check that customer invite sending is enabled at Settings → Integrations → Google Calendar → Customer Invites.

Duplicate calendar events appearing

Integration enabled on both a shared team calendar and individual user calendars simultaneously, creating two events per job.

Fix: Choose either shared team calendar sync or individual user calendar sync — not both. Disable the duplicate calendar target at Settings → Integrations → Google Calendar → Target Calendars.

Reschedules not updating the calendar event

Calendar event created before bi-directional sync was enabled, or OAuth permissions don't include event editing.

Fix: Verify OAuth permissions include calendar write access (not read-only). Re-authorise if the connection was made with read-only scope. Events created before the integration was connected may need to be deleted and recreated.
