Sync Method
Customer and contact records sync in real-time via webhook when key events occur in Hykmah — new customer created, order completed, job closed, membership renewed. This ensures CRM and marketing platforms always reflect current business activity without manual export. Bulk contact sync runs on a configurable schedule (default: nightly) to keep lists and segments up to date.
Authentication
Salesforce, HubSpot, Zoho, Pipedrive, Dynamics 365, Copper, and Mailchimp use OAuth2 — users authorise via the platform's own login screen, no credentials stored in Hykmah. SendGrid, Klaviyo, ActiveCampaign, and Campaign Monitor use API key authentication configured in Hykmah. All credentials are encrypted at rest using AES-256.
Data Mapping
Standard mappings cover: contacts, companies, deals, activities, tags, custom fields, and lifecycle stages. Hykmah customer records map to CRM contacts or accounts depending on platform. Order and transaction data maps to deal values and custom properties. Custom field mappings are configurable — Hykmah fields can be mapped to any standard or custom CRM field. For marketing platforms, contact properties (purchase history, membership tier, event attendance) map to audience segments and tags for campaign targeting.
Sync Direction
Most CRM integrations are bi-directional — changes in Hykmah update the CRM, and CRM updates (e.g. a sales rep adding a note or updating a deal stage) sync back to Hykmah. Marketing platform integrations are primarily outbound from Hykmah — contact and behavioural data flows to the marketing platform to drive segmentation and campaign triggers. Inbound sync (e.g. email engagement data returning to Hykmah) is configurable where the platform supports it.
Error Handling
Failed syncs are retried automatically (3 attempts with exponential backoff). Duplicate contact detection uses email address as the primary key — if a contact already exists in the CRM, Hykmah updates the existing record rather than creating a duplicate. Mapping errors (e.g. required CRM fields missing from Hykmah data) are flagged in the integration dashboard with the specific field and affected record. Users receive email notifications for persistent failures.
