How Businesses Use Hykmah + Dropbox
Real scenarios from businesses automatically archiving Hykmah documents to Dropbox.
Field service documentation accessible to the whole team
Challenge: Field service business with Operon generating job completion reports and site photos after every job. Reports manually downloaded and uploaded to a shared Dropbox folder by office staff — a time-consuming task that was inconsistently done.
Solution: Operon job completion reports and site photos save to a Dropbox Business team folder automatically — organised per customer and job. The whole team accesses job documentation from Dropbox without individual file sharing or Hykmah access.
Finance team accessing invoices directly from a shared Dropbox folder
Challenge: Business generating invoices across multiple Hykmah products. Accountant needed invoice PDFs for reconciliation but didn't have Hykmah access — requiring manual invoice exports and email attachments each month.
Solution: Every Hykmah invoice saves to a Dropbox Invoices folder automatically, organised by month. The accountant accesses all invoices directly from a shared Dropbox folder — no Hykmah login required.
Procurement team accessing purchase orders without Hykmah access
Challenge: Wholesale business with a procurement team managing supplier relationships. Purchase orders raised in StockWise weren't accessible to the procurement team without a Hykmah login — causing delays in supplier follow-up.
Solution: Purchase orders generated in StockWise save to a Dropbox Purchasing folder automatically. Procurement team accesses all POs from Dropbox — suppliers can be shared individual PO files directly from Dropbox.
Automatic Document Archiving for Dropbox Teams
Hykmah generates documents throughout operations — invoices, job reports, quotes, contracts, photos. The Dropbox integration archives every document automatically so your team works from Dropbox as they always have, without anyone manually downloading and uploading files from Hykmah.
Every Document Archived Without Manual Uploads
Invoices, job reports, field photos, purchase orders, and signed contracts save to Dropbox automatically when created or completed in Hykmah. No downloads, no uploads, no filing. Documents appear in Dropbox the moment they exist in Hykmah.
Dropbox Business Team Folders
For Dropbox Business accounts, Hykmah can target team folders — shared folders accessible to all team members without individual file sharing. The whole organisation sees current documents in the right place automatically.
Version History for Compliance
Dropbox retains version history on all files. Documents saved from Hykmah can be recovered or reviewed at any previous version — useful for contract auditing, invoice disputes, and compliance requirements.
Share with External Stakeholders
Files saved to Dropbox can be shared with external parties — accountants, clients, suppliers — directly from Dropbox without additional Hykmah licences. Dropbox handles permissions; Hykmah handles the archiving.
Dropbox integration is included in all Hykmah plans — no per-document fees, no storage limits imposed by Hykmah.

How the Integration Works
Document Created in Hykmah
An invoice is generated, a job is completed, a contract is signed, or a photo is attached to a job record in Hykmah.
Hykmah Pushes to Dropbox
Hykmah calls the Dropbox API v2 and saves the document to the correct folder. If the folder doesn't exist yet (e.g. a new customer), Hykmah creates it automatically according to your folder structure configuration.
Document Available in Dropbox
The document appears in Dropbox immediately — synced to all connected devices and accessible to anyone with folder permissions. No manual action required.
Technical Architecture:
-
Authentication: Dropbox OAuth2 — authorise via Dropbox account, no credentials stored in Hykmah. Token auto-refreshes.
-
API: Dropbox API v2 — file upload, folder creation, and team folder support.
-
Dropbox Business: team folder targeting supported for shared organisation-wide access.
-
File formats: PDF (invoices, reports, contracts), JPEG/PNG (photos), XLSX (exports).
Sync Frequency:
- Real-time: Documents pushed to Dropbox immediately on creation or completion event in Hykmah
- Manual: On-demand document re-push available from individual record in Hykmah
Security & Compliance:
- Dropbox OAuth2 — no Dropbox credentials stored in Hykmah
- Encryption in transit: TLS 1.3
- Files inherit Dropbox sharing permissions — Hykmah does not override existing permissions
- SOC 2 Type II compliant
- Privacy Act 1988 (AU) compliant
System Requirements:
- Dropbox Personal or Dropbox Business account
- Hykmah Professional plan or higher
- Admin access to both systems
- For team folders: Dropbox Business account with team folder admin permissions

Common Issues & Solutions
Documents not appearing in Dropbox
OAuth token expired, insufficient Dropbox permissions, or root folder path changed since setup.
Fix: Check integration status at Settings → Integrations → Dropbox. Re-authorise if the OAuth token has expired. Verify Hykmah has write access to the configured root folder. Check the root folder hasn't been renamed or moved in Dropbox.
Files saving to wrong folder
Folder structure configuration doesn't match the document type, or customer/job record missing the field used for folder naming.
Fix: Review folder structure configuration at Settings → Integrations → Dropbox → Folder Settings. Verify the Hykmah record has the relevant field populated (e.g. customer name, job ID) that is used in the folder path.
Team folder access denied
Authorising Dropbox account lacks team folder admin permissions.
Fix: Re-authorise the integration using a Dropbox Business account with team folder admin permissions. Standard Dropbox Business member accounts may not have permission to create files in team folders — check with your Dropbox admin.
Dropbox storage quota exceeded
Dropbox account has insufficient storage for new documents.
Fix: Free Dropbox accounts have a 2 GB storage limit. Upgrade to a paid Dropbox plan or remove old files to free up space. Check available storage in your Dropbox account settings.
