Hykmah Pushes to Dropbox

Hykmah calls the Dropbox API v2 and saves the document to the correct folder. If the folder doesn't exist yet (e.g. a new customer), Hykmah creates it automatically according to your folder structure configuration.

The document appears in Dropbox immediately — synced to all connected devices and accessible to anyone with folder permissions. No manual action required.

Connect Your Dropbox Account

In Hykmah, go to Settings → Integrations → Storage and click "Connect Dropbox". You will be redirected to Dropbox for OAuth2 authorisation.

Review and approve Hykmah access permissions (file creation and folder management)

Select Root Folder

Choose or create a root folder in Dropbox where Hykmah will save documents. For Dropbox Business, you can target a team folder for organisation-wide access. Recommended: create a dedicated "Hykmah Documents" root folder.

Choose how files are organised within the root folder:

By customer name (e.g. /Hykmah Documents/Customers/[Customer Name]/)
By document type (e.g. /Hykmah Documents/Invoices/[Month]/)
By job reference (e.g. /Hykmah Documents/Jobs/[Job ID]/)

Which Hykmah products save documents to Dropbox?

All Hykmah products that generate documents can save to Dropbox. Operon saves job reports and field photos. Recuron saves subscription invoices. Sellwise saves retail invoices. StockWise and Orderlink save purchase orders and B2B invoices. Wirkolic saves project quotes and client deliverables.

Does the integration work with Dropbox Business?

Yes. The integration works with both Dropbox Personal and Dropbox Business accounts. For Dropbox Business, Hykmah can target team folders for organisation-wide document access. Team folder access requires the authorising account to have team folder admin permissions.

Can I control which document types save to Dropbox?

Yes. Configure per document type which Hykmah documents save to Dropbox. Enable invoices only, or enable all document types including photos, reports, and contracts. Configuration available at Settings → Integrations → Dropbox → Document Types.

What happens if the target folder doesn't exist?

Hykmah creates folders automatically. If a document is generated for a new customer or job, Hykmah creates the relevant folder in Dropbox before saving the document. You never need to manually create folders.

Can I share Dropbox folders with my accountant or clients?

Yes. Files saved to Dropbox can be shared with anyone via Dropbox's standard sharing — shared links, folder invitations, or team folder access. Hykmah handles the archiving; Dropbox handles the sharing.

Is there a cost for the Dropbox integration?

No. Dropbox integration is included in Hykmah Professional ($50/month AUD), Premium and Enterprise at no additional cost. Dropbox storage limits apply to your Dropbox account.

Documents not appearing in Dropbox

OAuth token expired, insufficient Dropbox permissions, or root folder path changed since setup.

Fix: Check integration status at Settings → Integrations → Dropbox. Re-authorise if the OAuth token has expired. Verify Hykmah has write access to the configured root folder. Check the root folder hasn't been renamed or moved in Dropbox.

Files saving to wrong folder

Folder structure configuration doesn't match the document type, or customer/job record missing the field used for folder naming.

Fix: Review folder structure configuration at Settings → Integrations → Dropbox → Folder Settings. Verify the Hykmah record has the relevant field populated (e.g. customer name, job ID) that is used in the folder path.

Team folder access denied

Authorising Dropbox account lacks team folder admin permissions.

Fix: Re-authorise the integration using a Dropbox Business account with team folder admin permissions. Standard Dropbox Business member accounts may not have permission to create files in team folders — check with your Dropbox admin.

Dropbox storage quota exceeded

Dropbox account has insufficient storage for new documents.

Fix: Free Dropbox accounts have a 2 GB storage limit. Upgrade to a paid Dropbox plan or remove old files to free up space. Check available storage in your Dropbox account settings.
