How Australian Businesses Use Hykmah + QuickBooks
Real scenarios from Australian businesses using QuickBooks Online and Hykmah together.
StockWise + QuickBooks Product business manually re-entering StockWise orders into QuickBooks daily
Challenge: Brisbane gift wholesaler using StockWise for order management and QuickBooks Online for accounting. Every order required manual re-entry into QuickBooks, taking 2 hours daily with regular GST coding errors.
Solution: StockWise orders automatically create QuickBooks invoices with correct GST rates, customer contacts and product line items. Payments received in StockWise reconcile with QuickBooks automatically on the same day.
Recuron + QuickBooks Subscription revenue tracking in QuickBooks without manual invoice creation
Challenge: Digital agency using Recuron for monthly retainer billing with 80 clients. Creating 80 QuickBooks invoices manually each month took half a day and often contained errors on variable-rate clients.
Solution: Recuron generates QuickBooks invoices automatically each billing cycle. Variable charges calculated by Recuron are passed as separate line items to QuickBooks. Stripe payments reconcile in QuickBooks on collection.
Operon + QuickBooks Growing small business needing operations and accounting in one connected system
Challenge: Perth cleaning franchise owner using QuickBooks for accounting but no proper job management system. Jobs scheduled in a spreadsheet, invoices created manually in QuickBooks after each job. No job-level profitability visibility.
Solution: Operon manages job scheduling, technician dispatch and job completion. Completed jobs automatically create QuickBooks invoices with QuickBooks class coding for job-level reporting. Labour and material costs tracked per job.
Operations and Accounting Automated
Hykmah handles operations. QuickBooks Online handles the financials. The integration eliminates the gap between them.
Automatic Invoicing Across All Products
Every Hykmah product creates QuickBooks invoices automatically — StockWise orders, Operon jobs, Recuron subscriptions, Orderlink B2B orders. One QuickBooks connection covers every revenue stream.
Australian GST and BAS Support
QuickBooks Online Australia GST tax types (GST, GST Free, Out of Scope) pre-configured and mapped automatically. BAS lodgement preparation time reduced without manual tax code review.
Job-Level P&L with QuickBooks Classes
Operon job data maps to QuickBooks Classes and Locations for job-level profit and loss reporting. See which jobs are profitable directly in QuickBooks without manual data entry.
Switch from Xero or MYOB Without Losing Hykmah
Hykmah supports Xero, MYOB and QuickBooks Online simultaneously. If you switch accounting platforms, disconnect the old integration and connect QuickBooks — historical Hykmah data is preserved throughout.
QuickBooks integration is included in Hykmah Professional at $50/month AUD — no per-invoice fees, no volume limits, no additional connector cost.

Common Issues & Solutions
Intuit OAuth token expired — QuickBooks disconnected
QuickBooks Online OAuth tokens expire after 100 days of inactivity. If Hykmah hasn't synced during this period, the connection expires and requires re-authorisation.
Fix: Navigate to Settings → QuickBooks → Connection Status and click Reconnect. You will be redirected to Intuit for re-authorisation. Token auto-refreshes as long as at least one sync occurs within 100 days.
Duplicate customer records in QuickBooks from Hykmah
Customer exists in both Hykmah and QuickBooks with slightly different names or email addresses, causing contact matching to create duplicate records.
Fix: Use QuickBooks Merge feature to consolidate duplicate customers. In Hykmah, manually link customers to the correct QuickBooks customer record at Settings → QuickBooks → Customer Mapping. Enable email-based strict matching to prevent future duplicates.
GST rates not applying correctly on QuickBooks invoices
Account code mapping configured before GST tax rates were set, or QuickBooks AU GST tax codes not enabled in the QuickBooks company settings.
Fix: Ensure GST is enabled in QuickBooks Online Settings → Account and Settings → Advanced → Tax. Review account code mapping in Hykmah to ensure each income account has a default GST tax rate assigned.
QuickBooks invoices created but payment not reconciling
QuickBooks payment account not configured in Hykmah, or payment method (Stripe, PayPal) not mapped to a QuickBooks bank account.
Fix: Navigate to Settings → QuickBooks → Payment Settings. Ensure each Hykmah payment method is mapped to the correct QuickBooks bank or clearing account. Confirm the account is a bank-type account (not income or liability).
