Sync Method
Document generation and signature requests trigger in real-time from Hykmah business events — a quote approved, a membership created, a job completed. Hykmah generates the document from a configured template, populates it with record data, and dispatches it to the e-signature platform for sending. Signing status syncs back to Hykmah via webhook as recipients view, sign, or decline — no manual checking of the e-signature platform required.
Authentication
DocuSign and Adobe Sign use OAuth2 — users authorise via the platform's own login screen, no credentials stored in Hykmah. PandaDoc uses API key authentication configured in Hykmah with your PandaDoc account credentials. All credentials are encrypted at rest using AES-256.
Document Generation
Documents are generated from templates configured in Hykmah or in the e-signature platform. Hykmah field data (customer name, address, line items, pricing, dates, custom fields) is injected into template placeholders at generation time. Supported output formats: PDF (all platforms), DOCX (PandaDoc). Multi-signatory workflows are supported — documents can be routed to multiple recipients in sequence or in parallel with configurable signing order.
Signed Document Handling
Once a document is fully executed, the signed copy is retrieved automatically from the e-signature platform and stored against the originating record in Hykmah. Optionally, signed documents can be pushed to a connected cloud storage platform (Google Drive, OneDrive, Dropbox) for centralised filing. Audit trails from the e-signature platform (timestamps, IP addresses, signature certificates) are retained with the document.
Error Handling
Failed document generation requests are flagged in the Hykmah workflow log with the specific error. Signing expiry and declined signatures trigger webhook events that surface in Hykmah, allowing workflows to handle exceptions — for example, sending a reminder or alerting a staff member. Users receive notifications for documents that remain unsigned past a configurable threshold.
